Description

The Receptionist II will manage the reception desk at TD Securities' Montreal headquarters, welcoming clients, coordinating meetings, preparing conference rooms, managing supplies, and handling general inquiries and calls. They will also perform various administrative tasks and support business processes, adhering to company policies and contributing to a positive team environment.

What We're Looking For

Welcome and grant clients at the TD Securities reception desk.

Work with internal Corporate and Investment Banking and Global trading teams to book client meetings and coordinate usage of conference rooms.

Prepare conference rooms for meetings and ensure they are always ready and tidy.

Manage supplies, including food and beverages for clients and printing/other necessary supplies for internal teams.

Answer general questions regarding locations, hours, and services, and refer clients to appropriate departments.

Screen calls not immediately identifiable.

Ensure client issues are handled appropriately, escalating when necessary.

May keep an up-to-date directory of telephone numbers.

May sort, stamp, and distribute mail, maintain records and files, send/receive/distribute faxes, arrange meetings and appointments, file, photocopy, type memos, and assist with mailings.

Prioritize own workload to meet SLA requirements for service and productivity.

Understand and apply operating policies and procedures.

Support the timely and accurate completion of business processes and procedures.

Escalate non-standard or high-risk activities as necessary.

Support and participate in process improvement opportunities.

Ensure necessary due diligence to support the accuracy of all transactions/activities.

Be knowledgeable of and comply with Bank Code of Conduct.

Participate fully as a member of the team, promote team effectiveness, and contribute to a positive work environment.

Continuously develop knowledge in own area.

Participate in personal performance management and development activities, including cross-training.

Keep others informed and up-to-date about relevant information related to day-to-day activities.

Contribute to a fair, positive, and equitable environment that supports a diverse workforce.

Act as a brand champion for the business area/function and the bank.

Ideal Candidate

Ability to work a minimum of 4-5 days a week, 8 hours per day.

Fully bilingual French and English.

High School Diploma.

2+ years of experience.
