This role involves providing administrative support to senior members of the US Corporate Banking Team in New York. The Executive Assistant will manage daily operations, coordinate schedules, handle travel arrangements, assist with event planning, and provide technology support, ensuring a professional image and efficient workflow for the executives. They will also manage expenses, correspondence, and liaise with various internal and external stakeholders.
Organize and prioritize daily activities for Managing Directors using independent judgment and discretion.,Coordinate schedules, meetings, conference calls, and appointments.,Manage heavy travel schedules and reservations (air, hotel, ground transportation).,Participate in department event planning, including catering, vendor selection, and budget management.,Manage equipment and office supplies, including Service Now requests, repairs, and orders.,Maintain tracking of all expenses and invoices.,Compose routine correspondence and handle incoming/outgoing mail.,Provide daily technology support and maintenance for office equipment (printers, scanners, telephones, mobile devices, computers).,Investigate and resolve system/software problems, preparing and tracking Service Now requests.,Liaise with various technology support groups and external vendors.,Maintain current knowledge of hardware, software applications, and CIBC policies.,Comply with all applicable CIBC and Line of Business policies, standards, guidelines, and controls.
A minimum of 5+ years of administrative experience in a corporate environment.,Good interpersonal and customer relationship management skills.,Ability to handle multiple tasks in a fast-paced financial services company.,Strong communication skills, both written and oral, requiring tact, diplomacy, and discretion.,Ability to maintain confidentiality.,Strong attention to detail.,Highly motivated self-starter, able to work independently with minimum direction.,Ability to identify solutions to problems.,Ability to exercise good judgment to resolve a wide variety of issues.,Ability to manage multiple priorities.,Ability to work in a team environment.
