Executive Assistant to VP and Market Leader

Description

The Executive Assistant supports the Vice President and Market Leader for Commercial Banking in British Columbia. This role involves managing daily administrative operations, including calendar management, processing invoices, coordinating travel, and handling correspondence. The Executive Assistant is also responsible for independently managing special projects, organizing conferences, assisting with operational plans, making daily priority decisions, developing administrative procedures, and overseeing meeting coordination and expense accounts.

What We're Looking For

Maintain and monitor executive's calendar, appointments, events, and urgent matters.,Coordinate agendas, send meeting invitations, book meeting rooms, and arrange IT resources.,Process invoices and expense reports.,Handle travel bookings.,Prepare standard and confidential correspondence, minutes, reports, and presentations.,Screen and evaluate email and other communications.,Exercise independent initiative and judgment for special and regional projects.,Plan and follow up on conference details.,Assist in implementing operational plans.,Make decisions on daily priorities.,Develop and maintain administrative procedures and processes.,Coordinate regional activities and assignments.,Provide ongoing administrative support, including onboarding/offboarding activities (technology requests, business cards, corporate cards, expense/travel profiles).,Prepare presentation decks for regional, team, or annual events.,Monitor and track all department invoices and expenses.

Ideal Candidate

3-5 years of experience as an Executive Assistant in a highly professional, confidential, and fast-paced environment.,Excellent verbal and written communication skills.,Strong interpersonal skills with tact, diplomacy, and discretion.,Proficiency in MS Office suite (Word, Excel, PowerPoint, Outlook).,Digitally savvy.,Strong critical thinking skills.
