Provide comprehensive organizational and administrative support to the Chief Strategy and Innovation Officer for RBC Capital Markets. The role involves managing executive schedules, coordinating high-level meetings and events, and proactively assisting the leadership team with various tasks in a fast-paced and dynamic environment, demonstrating creativity and curiosity to help position the firm for the future.
Maintain schedule/calendar of key activities for Chief Strategy and Innovation Officer and ensure key business critical dates are met, prioritizing and triaging as needed.,Support the organizational needs of weekly Operating Committee meetings, including scheduling speakers, distributing materials, and summarizing meeting notes.,Work with the Leadership Team to proactively identify required needs, conflicts, and materials.,Liaise with Enterprise and Regional Strategy teams to prepare and maintain a calendar of Board presentations, inclusive of topics, and submission and presentation dates.,Exhibit initiative and “follow-through” to help leadership team as necessary, identifying areas where assistance can be provided.,Communicate on a timely basis the status of key deliverables as appropriate.,Complete administrative tasks, including coordination of calendar/meeting arrangements, setting up conference calls, travel arrangements, restaurant reservations, catering, scanning of documents, etc.,Prepare, track, and manage expense reports via an expense reporting system.,Review email requests for approval (e.g., meeting materials, reports) on a daily basis.,Maintain an organized filing system, both digitally and with paper documents.,Coordinate with building management on real estate needs and manage security cards for the team.,Update Vacation and Absence records.,Arrange new employee onboarding and departure.,Participate in performing tasks on “special projects” as requested.
Secondary education.,Minimum 5+ years' experience in an executive assistant capacity within a professional services environment supporting senior executives.,Experience working in the Capital Markets industry is preferred.
