The Executive Assistant at CIBC supports executives by coordinating administrative activities, managing schedules, correspondence, and travel, and making day-to-day operational decisions. This role involves independent judgment, discretion, and diplomacy, and contributes to special projects and process development within the Commercial & Industrial Banking department.
Provide day-to-day executive administration support to the Head of Commercial & Industrial Banking and their direct reports.,Proactively manage schedules, calendars, meetings, travel, expenses, and email correspondence.,Professionally and proactively execute correspondence, managing email inbox and replying to messages independently.,Collaborate with the Chief of Staff to drive execution.,Serve as a liaison for the Head of C&I Banking with other key executives and functional areas.,Receive visitors, answer phone calls, provide information, and refer callers to appropriate individuals.,Proactively lead the onboarding of new employees across C&I Banking.,Actively manage and update the roster of C&I team members.,Involvement in various projects and initiatives across C&I Banking.,Maintain and monitor executive’s calendars, coordinate agendas, and arrange IT resources and refreshments for meetings.,Arrange travel and manage travel expense accounts, including submissions to PeopleSoft.,Monitor and track department invoices and expenses; process expense reports/invoices and update financial reports.,Prepare standard correspondence, minutes, reports, and presentations.,Assist with onboarding/off-boarding activities for new and departing employees.
5+ years of experience as an Executive Assistant in a highly professional, confidential, and fast-paced environment.,Strong communication skills (verbal and written) and interpersonal skills.,Digitally proficient with strong command of MS Office suite.,Attention to detail and critical thinking skills.,Values of trust, teamwork, and accountability.
40 hours/week
Must be legally eligible to work at the specified location(s) and possess a valid work or study permit if applicable.
