The Executive Assistant will provide organizational and administrative support to senior executives in Global Investment Banking and team members, requiring a solutions-oriented attitude, strong relationship-building skills, and the ability to manage multiple demands in a fast-paced environment. The role requires experience in a professional services environment, ideally within Capital Markets.
Maintain schedule/calendar of key activities for senior executives and ensure key business critical dates are met, prioritizing and triaging as needed.,Exhibit initiative and “follow-through” to assist the leadership team, identifying and pursuing opportunities to provide support.,Communicate timely status of key deliverables.,Perform continuous administrative tasks: coordinate meeting arrangements, set up conference calls, arrange reservations, catering, order supplies, make photocopies, scan documents, organize transportation, and maintain client lists/database.,Assist staff in proofreading legal documents and performing mark-up changes.,Prepare, track, and manage expense reports.,Prepare and/or review email requests for approval (e.g., meeting materials, reports) daily.,Print and bind presentation materials, assist with formatting.,Make domestic and international travel arrangements and handle changes.,Assist staff in complying with regulatory requirements with OACIQ, AMP, and AMF, including maintaining an organized filing system (digital and paper).,Act as backup to other department staff members as needed.,Participate in tasks on “special projects” as requested.,Provide access to Sharefile and update as requested.,Bilingualism (English and French) is required.,Minimum 5+ years' experience in an executive assistant capacity supporting senior executives.,Experience working in professional services environment, and ideally in a Capital Markets business.,Experience working on highly confidential projects with appropriate discretion and sensitivity.
