The Client Administration Lead at KPMG plays a crucial role in providing administrative support to the Tax Business Unit Leader in Victoria, B.C. The position focuses on ensuring excellent client service by delivering high-quality products, managing sensitive information with discretion, and fostering a positive staff and client experience. This role involves coordinating various activities from meetings and communications to onboarding/offboarding processes and financial liaisons. The lead also supports people leaders, manages learning events, and may mentor other administrative staff.
Support administrative needs of the Tax Business Unit Leader,
Understand business needs, mitigate issues, and provide solutions,
Handle highly sensitive and confidential information with discretion,
Create and distribute communications,
Coordinate meetings, conference calls, video conferences,
Coordinate and/or facilitate all onboarding and offboarding activities for staff (with HR and IT),
Review and monitor compliance of expense reports,
Coordinate training arrangements and monitor compliance,
Act as an expert in firm policies, provide guidance/technical resource and process direction,
Provide senior level administrative support to partners and/or managers,
Respond to local Business Units/office queries related to Learning,
Organize learning events and prepare reports,
Coordinate events pertaining to a function or sub-function,
Support People Leaders by coordinating and attending meetings, preparing handouts, taking minutes, highlighting action items, and ensuring deadlines are met,
Liaise with finance for proper allocation of expenses and timely submission,
Assemble reports for annual compensation process for Practice/Office Leaders,
May be a performance manager to other tax admin (mentoring, goal setting, evaluations),
Consistent in-office presence required in Victoria
Advanced skills with MS Office and Adobe products (Outlook, Excel, PowerPoint, Acrobat),
Proficiency to quickly learn proprietary software,
Excellent communication skills,
Strong project management skills,
Performance Management experience leading or supervising a team,
Good judgment and analytical skills with a focus on attention to detail,
Capable of working independently and taking ownership of tasks,
Ability to quickly and smoothly adapt to changing client demands,
Minimum 5+ years administration experience
Willingness to work beyond normal work day or work week when business needs arise
