Description

This opportunity involves providing comprehensive administrative support to a Director of Commercial Financial Services and their team in the Greater Toronto Region. The role's main objective is to help the Director and team maximize their focus on top priorities, thereby positively influencing client loyalty, employee engagement, and business outcomes. The assistant will proactively suggest and implement efficiency improvements, aid in reporting analysis, and build relationships with internal partners to support the VPs' work.

What We're Looking For

Plan and monitor critical market aspects, including operating expenses, staff cost budgets, recognition programs, event management, and internal communications.

Support planning, organizing, and administering the Director's calendar, ensuring pre-preparation for all bookings.

Prioritize the Director's time on high-impact activities.

Actively manage incoming and outgoing correspondences and serve as a point of contact between executives, employees, and clients.

Support the Director with risk and compliance requirements, transit routines, and overall market office operations.

Prepare the Director for weekly, monthly, and quarterly reviews and routines, including electronic documentation management and information reporting.

Coordinate technical aspects of new hire onboarding, such as equipment orders and system access setup.

Uphold a strict level of confidentiality.

Ideal Candidate

3 – 5 years' experience providing administrative support at the executive level.

Advanced knowledge of Microsoft Office (Outlook, Word, Excel, and PowerPoint), Adobe Acrobat, and Social Media web platforms.

Demonstrated proactive approaches to problem-solving with strong decision-making capability.

Very strong interpersonal skills and the ability to build relationships with stakeholders.

Strong organizational skills with excellent attention to detail, capable of performing and prioritizing multiple tasks seamlessly.

Highly resourceful team-player, also extremely effective independently.
